Use Requirements
You must be:
- A currently enrolled student generating academic credit and be in a program that included media fees in the catalog.
- A faculty or staff conducting college business or professional development.
- Pay rental fees if applicable.
- Assume full financial responsibility for late fines, loss, or damage.
Equipment Reservations
- Reservations can be made up to one month in advance.
- Reservations are not guaranteed but we will try to provide alternatives.
- Equipment not picked up an hour past scheduled time will be cancelled.
- High use equipment cannot be reserved more than two weeks in a row.
- Large reservations must be submitted at least one week in advance.
Equipment Loans
- Normal loan periods are 7 days, some equipment have restrictions.
- Lab keys are typically checked out for 1-2 days (some exceptions may apply).
- Large checkouts need to be started at least one hour before closing.
- We reserve the right to refuse last minute checkouts.
Extended Loans
- Loans over break require approval from faculty, proof of registration and tuition payment.
- Extended loans are not guaranteed.
- Audio Studio equipment and Advanced Production Services equipment are not available over breaks.
- Requests may take up to 5 business days to process.
Renewing Loans
- Equipment can be renewed if it is available.
- Renewals are not guaranteed, be prepared to return equipment by your current due date.
- Renewals must be confirmed by staff either in person, by phone, or email.
- Check your email for renewal confirmation.
Returning Equipment
- Return equipment on or before due date in person during open hours.
- Return equipment to library circulation when Media Loan is closed.
- Do not use library book drop for equipment or lab keys.
- Prearranged shipping returns may be accepted at the borrower's risk.
- Shipping equipment requires specific packing instructions and insurance.
- If shipping, contact staff at medialoandl@evergreen.edu for approval and learn the required process.
Using Equipment for Incomplete Credit
Any student with an official incomplete may submit a request to Media Loan. The request should be signed by the faculty and verified by the Registration and Records office. A deposit is required. Once approved, the student can request access to Media Loan equipment up to 30 calendar days, or dependent on faculty approval. After returning the equipment, Media Loan will request a refund of the deposit, minus late fines or damage fees when applicable. Refunds are paid within four weeks.
Insurance on Equipment
No equipment is insured by Evergreen. Borrowers may obtain insurance coverage from a private broker or agent.
State and College Regulations
Media Loan complies with Washington state law (WAC 174-168-010 to 070) and Evergreen academic policy covering use of equipment. Washington Administrative Code
