Guidelines
The Equity and Belonging Fund (EBF) supports activities and events that advance equity, inclusion, and belonging at Evergreen. These Funds are stewarded by the Office of Equity and Belonging, along with a committee of cross-campus partners who review and approve applications. Proposed events/activities must be open to the entire campus community of students, staff, and faculty. Current students, staff, and faculty are welcome to apply for these funds.
We particularly encourage proposals that:
- Advance racial justice, support members of our BIPOC community, and/or continue Evergreen’s long-standing commitment to native and indigenous communities
- Feature collaborative work between faculty and staff
- Are made in collaboration with students.
Equity and Belonging Funds are awarded in amounts between $150-$3,000. Funds are limited and intended to support as many events as possible. Those seeking funding should be mindful that the amount of funds being sought aligns with the scope of the proposed activity. Applicants will be expected to submit an estimated line-item budget. Equity and Belonging Funds can be used toward an event that is receiving additional funding from another source.
Before Applying
Student Coordinators are encouraged to meet with a Student Activities staff member before submitting an Equity and Belonging Fund application.
Compile any supporting documentation, such as:
- Cost estimates
- Letters of support
- Letters of sponsorship
- Speaker information
- Etc.
The Equity and Belonging Fund may not be capable of meeting all requests for funding support.
If Awarded
Event Planning Guidance materials will be sent to awardees.
Please note that award recipients will be required to complete a post-event report via Microsoft Forms.

What does it mean that the event must be open to the entire Evergreen community?
The event organizers should do meaningful outreach to the entire campus community including students, staff, and faculty. This includes utilizing Inside Evergreen and the Evergreen Events Calendar, as well as flyering around campus.
Can the event be open to the public?
Yes. The event does not have to be limited to students, staff, and faculty. If the event is open to the public, it needs to be reviewed by the RART (Risk Assessment Review Team).
What can the funds be used for?
Equity and Belonging Funds can be used for speaker fees, food, supplies, renting equipment, production costs and more.

Where can I get food for my event?
Food and refreshments can be ordered through Aramark, the campus food vendor. Because Equity and Belonging Funds can only be used for events that are open to the campus community; potlucks, food workshops, and food labs are not allowable. There are very limited exemptions to seeking catering outside of Aramark. Please refer to the campus policy and read carefully to ensure compliance:

Event costs can vary, but here are some estimated costs commonly associated with
campus events:
- Speaker/Performer Fees: $150 - $500 per person/act
- Printing Flyers: $50 - $150
- Light Refreshments (Coffee/Tea): $400 - $500
- Food/Catering: $1,000 - $2,000
- Media Services: $1,000 - $2,500
- Facilities: $100 - $500
What are some example budgets?
Here are some examples of budgets for different scale events:

A virtual event with a speaker:
- Speaker Fee: $150

Event Example #2
A panel of local, in-person speakers in a classroom (no media or facilities services needed):

Non-classroom event with a performer traveling from out of town:
- Performance Fees: $1,000
- Media Services and/or Facilities: $1,000

Can I apply for funds more than once?
Equity and Belonging Funds are limited and intended to support as many events as possible. We discourage people who have received Funds to submit another application in the same academic year.
Who makes decisions regarding the Equity and Belonging Fund?
The Equity and Belonging Office administrates the Fund with the support of a small committee of staff who review and approve proposals.
