What is included in an Evergreen transcript?
Your official Evergreen transcript consists of:
- A transcript guide to help readers who are unfamiliar with our narrative evaluations
- A credit and course-work summary (entitled Record of Academic Achievement - sample)
- Narrative evaluations from your faculty and your own self evaluations (if you chose to include them).
What is the cost of an official transcript?
$10 per official transcript. Note new credit card policies, in effect June 2, 2010.
What is the cost of an unofficial transcript?
Unofficial transcripts are $1 per page up to the maximum cost of $10 for 10 or more pages.
How can I order an unofficial transcript?
Your unofficial transcript consists of all of your evaluations, both from faculty and those you created (self evaluations). We mail your faculty evaluations to you when we receive them, so if you keep these together in a file, you will always have your unofficial transcript available. If you need additional copies of some or all of your evaluations, you may come by the Registration Office during business hours. Unofficial transcript copies are available in person only. You must have a photo ID to pick up transcript documents. Unofficial transcripts will not be released if the student has active holds or outstanding required self-evaluations until those issues are resolved.
Can I look at my transcript records without ordering a transcript?
You may come into the office during business hours to review your file. You must have a picture ID with you.
How long does it take to produce a transcript? Can I pay for rush service?
We process transcript requests in the order they are received. In most cases, your transcript will be produced and shipped in one to five business days, depending on our volume of orders (our peak season is October through February). If there is a complication that will delay your order (such as missing required self-evaluations), we will contact you right away to help with this.
We ship all transcripts via USPS first-class mail. We do not offer other shipping methods, nor can we send transcripts electronically, including by fax.

We will work with you to accommodate special circumstances. Please provide detailed information at the time of your transcript request regarding any special processing requirements, by fax or email.
How are my transfer credits from other institutions represented in my Evergreen transcript?
Transfer credits are listed by institution name and total credits accepted by Evergreen. Specific course/credit details from other institutions are not included, and your Evergreen transcript does not serve as a record from any other institution.
Can someone else pick up my transcript?
Another party may pick up your transcript only if you provide a signed statement to this effect. This statement will not cover future transcript orders. You may fax or mail your signed authorization to us.
Can someone else request my transcript?
You are the only person who can request your transcript. In some cases, an institution may request your transcript on your behalf with an accompanying release form signed by you.
Is picture ID required to pick up my transcript?
What if my transcript is being sent to one of Evergreen’s graduate programs? Do I still have to request and pay for a transcript, or can Evergreen staff just access these records?
If Evergreen needs an official transcript for any purpose, you must go through the process of ordering one, including payment.
I requested an account to order a transcript. What if I do not see a confirmation email that my account has been created?
If you do not see an email within one business day of requesting your account, please first check your SPAM/JUNK folder. If you still have not received an account notice, please contact the Transcript Office (360.867.6905).
What happens if I have a hold on my account?
Some holds will affect your ability to order a transcript. Some common holds that block transcript ordering are past-due account holds and required self-evaluation holds. The student’s account with the college must be clear in order to request a transcript. All required student self-evaluations must be turned in to Registration and Records in order to process an official transcript. Use the phone number associated with your hold inside my.evergreen.edu for help.
What if I have outstanding (not yet awarded) credit?
If you have outstanding credit when you order a transcript, we will notify your faculty’s office that your transcript order is awaiting their submission of your evaluation. We will only do this if the class in question is either finished or very nearly finished (at least week ten of the quarter). In other words, a transcript order placed when you are in a class that is more than two weeks from completion will be prepared and sent “as is,” with only your completed credits and evaluations included.
If you do have outstanding credits from a finished (or nearly finished) class, but you want us to send your transcript “as is,” without waiting for your outstanding credits, you may indicate this in your transcript order.
Please note that outstanding evaluations for finished (or nearly finished) classes can take longer than 1 to 5 business days to come from your faculty to us.
What if I'm in a multi-term program?
Your evaluation from a multi-term program comes in at the very end of the final term of the program. To order a transcript that includes your credit and evaluation from a multi-term program, you must wait until at least week 10 of the final quarter of the program.

Can I convert my narrative evaluations into a GPA?
Evergreen does not convert narrative evaluations into letter or number grades. Our philosophy is that readers gain a great deal more information about your work through the narrative evaluations than they do from a GPA. If you have already sent your transcript, and the recipient has questions about how to interpret it, or needs further information, contact Registration and Records for help (360.867.6180).
What should I do if a receiving institution indicates that my transcript has not been received?
You may confirm on my.evergreen.edu that your transcript was sent. There, you will see the address you gave us and the date it was mailed.
First, contact the recipient and ask them to double-check. Evergreen transcripts do not look like most other transcripts: they come in a 9 x 11 envelope and are often thick packets. The envelope is marked Transcript Materials on the front with a seal on the back that indicates that it is a transcript.
If the recipient still indicates that your transcript has not been received, please contact Evergreen’s Transcript Office (360.867.6905). We will confirm the receiving address and check that the transcript hasn’t been returned through the postal service. If it has not been returned and the address is correct but the institution still hasn’t received it, you must go through the request process again. We will work with you to expedite the second sending of transcripts.
