Setting up your junk e-mail filtering

Junk E-mail Introduction

The new email server at Evergreen has some exciting new filtering capabilities. Here are some things you should know:

- Junk E-mail is now filtered at the server level.
- You have the ability to adjust the filtering process, including being able to opt-out of filtering altogether.
- A Junk E-mail folder needs to be checked occasionally for verification of messages as junk.

Glossary of Terms

Junk E-mail (aka SPAM)
Unsolicited email, generally used to extract money from you. It is also a popular way to deliver computer viruses.

Opt-In
If you would like the server to filter potential junkmail, you will need to Opt-In. The are a couple of settings for this which are covered below.

Opt-Out
If you would like the server not to filter potential junkmail, you will need to Opt-Out. The are a couple of settings for this which are covered below.

Safe Senders
Email from people on your Safe Senders List will never be treated as junk e-mail. You can include individual email addresses or entire domains (ie: evergreen.edu) on this list.

Safe Recipients
Email that is sent to email addresses on your Safe Recipients List will never be treated as junk e-mail.

Blocked Senders
Email from email addresses or domains on your Blocked Senders List will always be treated as junk e-mail. Junk E-mail is filtered into your junk e-mail folder.

This document won't walk you through every single feature and change. A little adventuring will be required and, oddly enough, the HELP files actually do help.

Setting your Options

To access the junk e-mail filter controls, click on the OPTIONS bar on the left of your screen.

Opt-In

If you want the email server to perform any junk e-mail filtering, you must turn it on. As pictured below, there is a check box to turn on/off the junk e-mail filtering. Checked=ON, unchecked=OFF. What email gets filtered when it's ON will be determined by how you tell the server to react. Yes, this will take a little getting used to. Yes, you will have to check your junk e-mail folder occasionally, as the messages are filtered, not deleted.

Opt-Out

If you do not want the email server to perform any junk e-mail filtering, you must turn it off. As pictured below, there is a check box to turn on/off the junk e-mail filtering. Checked=ON, unchecked=OFF. OFF means you get it all, good, bad and ugly. However, this also mean you will never miss an incoming email.

Managing your Filtering Options

To adjust the filter options, click on the Manage Junk E-mail Lists button.

The filtering process is one of constant learning and adapting on your part, as well as the server. The filters can create a false positive. This means "good" email might be considered "bad," and junked. Also, as you have probably noticed, spammers have come up with very creative ways to defeat filters.

As you can see in the above screen shot, you have 3 fields to choose from, as well as some check boxes. There is a checkbox marked as important. This will automatically include all people in your CONTACTS list a Safe Senders. This is a real time saver. However, if someone spoofs an address in your contact list, that can be filtered into your Inbox. Nothing's perfect. :^|

The 3 fields, Safe Senders, Safe Recipients, and Blocked Senders are pretty self explanatory. You can add individual addresses (copy! paste!) or domains (ie: evergreen.edu) in these fields. Use the Add, Edit, and Remove buttons.

The Junk Folder

It is important to check your Junk E-mail folder occasionally. As mentioned above, in addition to junk e-mail, you could have some false positives. In the example below, you can see some junk e-mail as well as a dinner invitation from a family member of Ima Greener. Since it's mail that Ima will want to receive, she needs to move it to her Inbox. Check any and all messages you would like to move to one specific folder and click on the MOVE icon in the tool bar.

The Move Folder Picker appears next. Click the button next to the target folder and click the APPLY button. The mail will be moved. IMPORTANT: You can only move mail to one folder at a time.

To prevent Janet Greener from being filtered to the junk e-mail folder in the future, Ima can type (or copy! paste!) Janet's address into the Safe Recipients field as outlined above.

There are many nifty features in the webmail function of Exchange 2003. This will get you started, but you need to do some exploring on your own. Be sure to check out the HELP files.
