Visitor Guest Pass Request

GUEST SPEAKERS & CAMPUS EVENTS

If you're a faculty or staff member inviting a guest speaker to your program, or are holding an event in which you expect several guests, Parking Services can help. Here are some of the services we provide to make guest parking a smooth and worry-free process:

We can: 

  • Prepare guest passes at the parking booth for specific guests, or
  • Process Academic guest parking as described below, or
  • For larger events, create a tally at the parking booth that allows guests to simply identify themselves using the event name, or
  • Prepare guest passes that you can forward to your guests via postal mail before your event.

PLACING A GUEST PASS REQUEST:

Academic Program Requests (For Faculty Only):

Faculty members, please ask academic guests to identify themselves and give the name of the faculty member they are assisting as well as the academic program affiliation.  The pass will be charged to the academic budget at the end of the month.  

For All Other Requests:

It is essential that the budget authorizer for the requesting unit send a requesting memo or email to the Parking DL at least 2 days in advance with the following information:

  1. Date & time of the event
  2. Names of the guests you are expecting. Or, you can request we set up a tally using the number of people you expect to attend.
  3. The appropriate org. (budget) # where we may bill the parking passes.

After sending the appropriate email to the Parking DL, please advise your guest(s) to stop at the Parking Booth at the main entrance to campus before parking, to identify themselves or the event they are with and pick up their passes. We must have your guest-parking email request at least 2 or more days in advance so that we are able get a copy of the request to the booth in plenty of time.

If the hosting unit would like to mail passes to visitors and are expecting a number of people, the requestor may come to the Parking Office and purchase the number of passes needed with an IOT or email the request, including the org. number, and Parking will bill the cost of the passes on a multiple organizational transfer. The requestor should let us know a few days in advance so that we are able get the passes dated and initialed. We would need to know the number of passes requested and the date to stamp on them.  It's important to note that we do not sell undated passes.  IMPORTANT:  You will need to pick up the passes or give us a location to deliver them!

Remember, guest passes are not valid in timed areas, carpool spaces, or reserved lots.
