APS POLICIES & PROCEDURES

The Advanced Production Services (APS) area of Media Loan was designed to foster and support advanced students doing media intensive academic work. This area provides 16mm film production and editing equipment, 3-chip digital video cameras, sound and lighting gear. In addition to Media Loan policies & procedures, APS patrons must comply with the following APS policies and procedures to remain in good standing and utilize APS equipment.

Checking Out & Returning APS Equipment
If you are planning to gain proficiency in and/or use APS equipment for your academic work, you must fill out and submit a Media Request Form (MRF) to Stephanie Zorn (L1507, 867-6249) within the first two weeks of the quarter. For each check-out, an APS work order must be filled out and submitted at least 48 hours in advance, during the previous APS work day. For instance, if you want to check out equipment on a Monday, you must submit your work order the previous Friday when APS is open. It is your responsibility to verify whether or not your work order was approved or denied. APS staff may not call you unless there is a problem with your work order. Equipment must be checked out during APS afternoon hours at least 30 minutes before closing. Last minute transactions may be refused.

Equipment returns are during the APS morning hours. Please arrive at least 30 minutes before APS closes for lunch. It is advised that you remain and assist in checking in the equipment. This allows you to verify that all equipment has been returned and communicate any concerns with APS staff. Failure to return equipment during APS morning hours may result in loss of access privileges.

During the equipment check-out, make sure that you have all necessary accessories for your production. It is strongly advised that you test equipment when checking out. It is assumed that equipment is in proper working order when leaving Media Loan. Once you leave the premises, it is your responsibility to return all items in good condition. As with any equipment you check-out from Media Loan, you are responsible for 100% of the cost of repair of damage beyond normal wear and tear, or replacement of lost or stolen equipment.

APS Work Order Procedures
APS work orders are processed and filled only during APS hours on a first-come, first served basis. Fill out work orders as soon as possible to help ensure that equipment is available. Blank work orders and instructions for filling them out are available in Media Loan and online. The APS staff reserves the right to refuse incomplete or inaccurate work orders. Anyone caught falsifying work order submission times may have their APS access privileges suspended.

Renewals
In order to renew equipment, you must fill out and submit a new work order. Renewal work orders are processed in the same manner as new requests and follow the same submission guidelines. Filling out a renewal work order does not guarantee that your equipment check-out will be renewed. You must stop by or call on before your check-out is due to activate your renewal. Be prepared to return the equipment checked out in the event that the renewal cannot be granted.

Proficiencies
To gain proficiency in APS equipment, you must fill out an APS Proficiency form, available at Media Loan, requesting a proficiency test. Like work orders, a proficiency form must be submitted during the previous APS work day. Verify the status of your appointment by calling the APS office prior to your requested proficiency time. Advance paperwork is often required and can be found online or by asking APS staff.

Proficiencies are granted based on patron’s history successful and responsible of usage of Media Loan general access equipment. To use 16mm film equipment, patrons must first acquire a Bolex H-16 proficiency. After a quarter of successful usage, the patron may move on to more advanced cameras such as the CP-16. After one quarter of successful usage of palmcorders, patrons may become proficient in the Sony 3-chip cameras. After a quarter of successful usage and demonstrable mastery of the Sony 3-chip cameras, patrons may gain proficiency with the DVX-100A camera.

Contract Students
Students on individual, group or internship contracts must turn in a copy of their contract with their Media Request Form to Stephanie Zorn, L1507, before requesting APS equipment.

Liability
Media Loan film equipment is not insured by the college. Patrons may insure equipment loaned to them at their own expense through a private insurance carrier. Media Loan recommends that patrons insure equipment that may be used under hazardous conditions. Insurance is required for equipment being taken out of the county or for extended periods of time (see Extended Loan form).

Media Loan is not responsible for damage caused by misuse of equipment or use of defective equipment (i.e. fires caused by frayed cords, removed grounding plugs, overloaded household electrical circuits, etc...). Please be aware of safety considerations when using equipment.
