Planning Your Event
- Does this need to be a two-way conversation? Audio only? Video?
- How many people will be attending locally?
- How many different locations are participating? How many people at each location?
- Will your event need to be audio or video recorded?
- Test, test, test ahead of time.
- Loaner laptops or in-room computers should be checked ahead of time for appropriate software, plug-ins, a working internet connection, and so on.
- Turn off screen savers.
- If an online web conference, will you need a login/password to access?
- If online access, do you have the hardware and software needed?
- Do you have the technical contact information for the remote side of the event?
- Will you need to access a long distance phone number?
- What is your budget allocation (if necessary) for this event?
- Have you reserved a "conferencing friendly" room?
- If you need phone access, is there long distance service in the room? Contact Telecommunications for assistance and charges.

FAQ
- What room should I book?
- This will depend on the event you are planning. Web only, one-way viewing can usually be scheduled in any room with internet access. Room reservations may be made with Space Scheduling x6314.
- Be sure to schedule at least one hour prior and 1/2 hour after your scheduled event to allow for prep and shut down of your event. Two hours prior to event would be better.
- What equipment will be needed?
- This will depend on the event you are planning. Call x6270 to speak with an EM producer for details.
- How far in advance should I be planning this event?
- At least a week. For videoconferences, we typically need two weeks at minimum. Three weeks for any event is appreciated.
- How much time will EM need to support my event?
- This will depend on the event. Preparation and testing are key. We may need anywhere from 20 minutes to 4 hours prior to the event to set up. Call (360) 867-6270 for assistance in planning.
- What type of event can I oversee on my own?
- This will depend on your level of expertise and knowledge of the a/v/media gear...both yours and that of the college.
- What will it cost?
- This will depend on a number of factors including whether this is an academic or administrative event and whether your event is asking for admission/donation.
- Is it possible to record the conversation if we are tele- or videoconferencing?
- Yes. Please request this as soon as possible.
