Event Submission Guidelines

If you are a calendar manager, please refer to the Admission Guidelines for Calendar Managers.

To ensure that your event submission is approved, please observe these guidelines.

Events should be submitted only once to any calendar. Please read the calendar descriptions before submitting your event.

Please submit only Evergreen-sponsored events.

All submitted meetings must be open to the Evergreen community or are posted on the calendar to inform the community about what is happening regarding the college.

Only those responsible for an event (originator or representative of an event) may submit events to the calendar.

All submissions should be made at least 1 week before the event.

Event submissions may not contain expletives or slanderous language.

Submissions for personal events will not be accepted. Personal events include, but are not limited to: parties, yard sales or birthdays.

Calendar Managers may reject inappropriate or incomplete submissions. Calendar Managers will make an effort to notify the submitter if an event is rejected.

The event submitter is responsible for the accuracy and completeness of each submission.

The following checklist provides more details about each Event Submission field.

Select a Calendar

Date and Start Time

  • Ensure that both the date and start time for your event are correct.

End Time

  • This field is optional but helpful.

Repeat

  • Please use only when relevant. Inappropriate use of this function may result in rejection.

Event Title

  • Provide a descriptive, enticing title. The title will be the only "hook" that appears on the calendar and should encourage the viewer to investigate the event details. The title is also intended for the calendar's search function.

Description, including Location and Cost

  • All remaining event details should be included here.
    Be sure to list the location and cost of the event, if appropriate. The suggested notation looks like:

    Location: Library Lobby
    Cost: Free

    To provide more in depth information about an event, you may add a related web site link to the description field. In order for the link to function properly, use the following format:

    <a xhref="http://www.sitename.edu" mce_href="http://www.sitename.edu">
    www.sitename.edu
    </a>
    Where sitename should be your site's location. No other HTML coding is permitted.

Your Name and Your Email

  • All event submissions must include the name and email address of the event contact person.
